What is the difference between a private event and a public event?
The difference between a private and a public eventis a private event can only be viewed by its owner, the event administrator or supervisor, and guest(s) who have private access to the event while a public event can be accessedby everyone. By default all events are private. To change an event’s visibility, follow the steps below:
i. Click on “My Calendars”
ii. Click on the “Events” icon
iii. Click on the “Settings” option under the Events
iv. Select the event you would like to change the visibility for
v. Change the “Visibility” column to the desired settings

What is a calendar’svisibility?
The calendar visibility allows you to manage access to your calendar. The visibility options are private or public. A private calendar can only be accessed by selected guest(s) while a public calendar can be access by everyone. Below is how to change a calendar’svisibility:
1. Click on “My calendars”
2. Click on the “Calendars” icon
3. Click on the “Settings” option under the Calendars

What is the event privacy?
You can manage your event privacy using the visibility feature. There are two privacy options: private or public. A private event can only be accessed by selected guest(s) while a public event can be access by everyone. Below is how to change anevent’sprivacy:

3. Click on the “Settings” option under the Events
4. Select the event you would like to change the privacy for

How can I grant other guests access to a private event?
Here is how you grant private access to a private event:
1. Click on “My calendars”

5. Select the guests you would like to grant access to
6. Click on “Grant Access”
* When a calendar is set to private, it becomes only available to the event’s owner, event’s administrators and supervisors, and to users with private access to the event.

What are permissions?
Permissions are access details given to guests that define their rights and privileges to a calendar or an event. There are two kinds of permissions: supervisor and administrator. An administrator can perform the same actions as the calendar or event owner while the supervisor cannot delete a calendar or an event.

Can I import events from other calendars?
Yes, you can import events from other calendars using the following steps:
1. Click on “My calendars”
2. Click on the “Calendars” icon
3. Open the options menu of the calendar you would like to import events into and select the import option
4. Select the format you would like to import events as (Calentic or iCal)
5. Choose the file location
6. Click import

What is a form?
Forms aredisplayed during the registration process and allow you to collect information from your guests. Certain fields within the form can be set as “required” which means that guests will have to fill them out in order to register for the event. Here is how youattach a form to an event:
1. Click on “My calendars”
2. Click on the “Form” icon
3. Click on “Create New Form”
4. Enter the number of columns you would like to add to the table and click on “Crate Form”
5. Select the calendar and the event you would like to attach the form to
6. Fill out remaining fields
7. Click on the “Save” button

How can I attach a form to an event?

1. Click on “My calendars”
2. Click on the “Form” icon
3. Click on “Create New Form”

How do I download form information?
Once data has been submitted through the form, it will be available for download. Here is how you retrieve that data:
1. Click on “My calendars”
2. Click on the “Forms” icon
3. Find the event you would like to download the form for
4. Click on the download icon

What is capacity?
The capacity is the maximum number of guests who can register for an event. To setup an event capacity, follow the steps below:
1. Click on “My calendars”
2. Click on the “Capacities” icon
3. Click on “Create New Capacity”
4. Select the calendar and the event you would like to create a capacity for
5. Fill out remaining fields
6. Click on the “Save” button

What is an event session?
Sessions allow you to divide an event into sub-events. For example: A conference could have multiple sessions: Dentists session 10 – 11am, Anesthesiologists session from 11am – 12pm…. When a guest tries to register for that event, he will be asked to select the session he would like to register for. Keep in mind that each session is treated independently as a sub-event and thus can have its own form or/and capacity attached to it.

How do I create a group?
It may sometimes be easier to manage guests when they are divided into groups. Here is how you create a group:
1. Click on “My calendars”
2. Click on the “Guests” icon
3. Click on “Groups” option under the guests icon
4. Click on “Create New Groups”
5. Enter the group name
6. Click on “Add Users(s)”
7. Select the users you would like to add to the group
8. Click on the “Save” button

What is the master calendar?
The master calendar is a calendar that can have other calendars merged into it. For example: If calendar A is a master calendar, and calendars 1 and 2 are linked to it, all events from calendar 1 and 2 will be displayed in calendar A.

What is the conflict feature?
The conflict feature notifies you whenever an event that you just added is scheduled at the same date and time as another event on your calendar.

Who can send me recommendations?
Only people on your guest list can send you recommendations. Calentic assumes that those people know you and therefore will be able to recommend events that will be of interest to you.

What is the recommendation page?
The recommendation page displays a list of events that were recommended to you. Only people on your guest list can send you recommendations.

Can I manually add a guest to an event?
Yes you can manually add a guest to an event if you are the ownerof that event or have administrator or supervisor permissions to the event. Here is how you manually add a guest to an event:
1. Click on “My calendars”
2. Click on the “Events” icon
3. Click on the optionsmenu under the event you would like to add the guest to
4. Click on “Add Guests”
5. Select the guest(s) you would like to add to the event
6. Click on “Add Guests”

Can I export my guest list?
Here is how youexplore your guest list:
1. Click on “My calendars”
2. Click on the “Guests” icon
3. Click on the “Export” button

Can I import guests to my guest page?
Yes, you can import multiple guests using a excel spreadsheet using the following steps:
1. Click on “My calendars”
2. Click on the “Guests” icon
3. Click on the “Import” button
4. Click on the “Choose File”
5. Navigate to the location of the excel file that contains the guests list you would like to import
6. Select the File
7. Click on “Import”
* Note that you can only import using an excel file. The file has to be formatted as shown below:

How do I grant another guest supervisor and an administrator permissions to a calendar?
In order to allow other guests to manage your calendar on your behalf, you will have to grant them supervisor or administrator permissions to the calendar. Here is how you grant another guest supervisor and an administrator permissions to a calendar:
1. Click on “My calendars”
2. Click on the “Calendars” icon
3. Select “Settings” under the calendars options
4. Click on the options menu under the calendar you would like to give the guest(s) permission to.
5. Click on “Add Permissions”
6. Select the guest(s) you would to give permission to
7. Select the permission level
8. Click on the “Add Permissions” button
* Administrators have the same permissions as the calendar owner (Edit calendar, delete calendar, create events, delete events…) * Supervisors have the same permission has the owner but are not allowed to delete

How do I grant another guest supervisor and an administrator permissions to an event?
To allow other guests to manage an event on your behalf you need to give themsupervisor or administrator permissions to the event. Here is how you grant another guest supervisor and an administrator permissions to an event:
1. Click on “My calendars”
2. Click on the “Events” icon
3. Select “Settings” under the calendars options
4. Click on the options menu under the event you would like to give the guest(s) permission to.
5. Click on “Add Permissions”
6. Select the guest(s) you would to give permission to
7. Select the permission level
8. Click on the “Add Permissions” button
* Administrators have the same permissions as the event owner (Edit event, delete event, add guests to event, assign permissions…)
* Supervisors have the same permission has the owner but are not allowed to delete the event

How do I subscribe to a calendar?
Subscribing to a calendar allows you to be notified whenever a new event is added to that calendar. Hereis how you subscribe to a calendar:
1. In the search box, type the name of the calendar you would like to subscribe to
2. Select the calendar from the drop down result
3. Go to the bottom of the page
4. Click on the “Subscribe” button

Can I send an invitation to other guests?
Yes, you can send an email invitation to your guests for an event you created. Here is how you send an event invitation email:
1. Click on “My calendars”
2. Click on the “Events” icon
3. Click on the options menu under the event you would like to add the guest to
4. Click on “Send Invitation”
5. Click on “Add”
6. Select the guest(s) you would like to send an invitation
7. Click on “Add Guests”
8. Enter a tittle and message
9. Click on the “Send” button

How do I manually add a guest to a private event?
Yes, you can manually add a guest to a private event using the following steps:
1. Click on “My Calendars”
2. Click on the “Events” icon
3. Click on the “Settings” option under the Events
4. Click on the menu option under the event you would like to add a guest to
5. Click on “Private Access” option
6. Select the guest(s) you would like to grant private access to
7. Click on the “Grant Access” button

How do I choose what image will be displayed on the calendar?
You can attach several images to you event but only one of those image (the primary image) will be displayed on the calendar. The following steps describe how to set a primary image:
1. Click on “My calendars”
2. Click on the “Events” icon
3. Open the options menu of the event you would like to change the displayed image for
4. Select “Edit”
5. Right click on the image you would like to be display on the calendar
6. Select “Set as primary”

What is a waiting list?
The waiting list allows you to keep track of all guests who attempted to register for an event after the event reached its capacity and would like to be notified when a spot becomes available. To setup the waiting list feature, follow the steps below:
1. Click on “My calendars”
2. Click on the “Capacities” icon
3. Click on “Create New Capacity”
4. Ensure that the waiting list field is set to “Yes”

What is the waiting list management?
The waiting list managementmanages your waiting list by automatically notifying your waiting list guests whenever a spot on the event become available.Guests are notified on the first come basis. Whenever a spot on the event becomes available, the first guest on the waiting list will be notified and given 5 minutes (the interval period) to register.If the first guest does not register within the 5 minutes, a notification will be sent to the second guest on the list, and so on. The waiting list management feature is not automatically on and needs to be manually activated:
1. Click on “My calendars”
2. Click on the “Capacities” icon
3. Click on “Create New Capacity”
4. Ensure that the waiting list management field is set to “Yes”

Can I see which ones of my friends are attending an event?
Yes, you can I see which ones of my friends are attending an event if you:
1. Go to the calendar the event is published on
2. Right click on the event in question
3. Select “Zoom”
4. The number above the people icon indicates the number of your friends who are attending the event.
5. Click on the icon to see the names of the attendees.
* Note that you will only be able to see your friends if their “Display event attendance” is turned on

What is the difference between the calendar and the drop down search results?
The drop down search result displays results in a drop down table while the calendar search result displays event results within the calendar squares.

Can I export my events?
Yes, you can export all events within a calendar:
1. Click on “My Calendars”
2. Click on “Calendars”
3. Click on the menu option under the calendar you would like to export
4. Select the “Export” option

What is the “Event Near You” page?
The“Event near you” page displays all public events within a 10 mile radius of your location.

What if you do not want your friends to know what events you are going to?
If you do not want other guests to see what events you are attending you have to disable the “Display event attendance?” field. Here is how you do it:
1. Click on the “Settings” icon
2. Select “Profile”
3. Select “About”
4. Select “No” to the “Display event attendance?” option

What are event ratingsand how do they work?
An event rating is the total average of all of the ratings an event is given by registered guests. For example: Paul organized an event and received the following ratings from Marie, Kai, and Jones: 3, 4, 2. Based on the average of all the ratings, Paul’s event will have a rating of 3. * Note that in order to ensure the accuracy of our reviews, Calentic only allow guests who are registered for an event to submit a rating for that event. Guests can rate and review as early as 2 hours before the event start time and as late as 48hours after the event end time. The reasoning behind this is the guests may be interested in knowing how an event is coming together as early as 2 hours before its starts and recollection of how an event went is more accurate for the first 48hours.

Can I attach an image or a video to my review?
Yes, you can attach an image or a video to my review using the following:
1. Open the event you would like to submit a review for
2. Go down to the review section
3. Enter your comments and rating
4. Click on the attach button
5. Select the image or video you would like to attach to your review
6. Click on the “Submit” button

What is the organizer’s rating and how does it work?
An organizer’s rating is the total average of all of his events’ total ratings. For example: Paul has organized 3 events so far (A, B, and C). Each event respectively received the following rating: 3, 1, 2. Based on the average of all the events he organized, Paul will have anorganizer’s review of 2.

What is an interval period?
When an event is full, guests can opt to be put on the waiting list where they will be notified when a spot becomes available. By default, the notification message is sent out on a first come first served basis. The first guest on the waiting list will be the first to receive the notification message and will be given 5 minutes to register for the event. If the guest does not register for the event within 5 minutes, the next guest on the guest list will be notified and will also be given 5 minutes to register. The 5 minutes given to each guest is called the interval time and can be changed.

Can I customize my calendars?
You can customize your calendar by changing the header and profile image:
1. Click on “My Calendars”
2. Click on “Calendars”
3. Click on the menu option under the calendar you would like to customize
4. Select “Customize”

What is the difference between a calendar permission and an event permission?
Calendar permissionsand event permissions are managed independently. Having supervisory permissions to a calendar does not automatically mean that you also have supervisory permission to events within that calendar. You could have supervisory permission to a calendar and no permission to any events within that calendar or administrator permission to some of the events within the calendar.

What is the difference between a calendar visibility and an event visibility?
Calendar visibilityand event visibilityare managed independently. Having private access to a calendar does not automatically mean that you also have private access to events within that calendar. You could have private access to a calendar and not have access to any events within that calendar or have access to some of the events within the calendar.
